Swim With Gale Policies


  • Registration

    ~ A non-refundable/non-transferable deposit is required to secure your time slot for the session.  Each session you wish to enroll in requires a new deposit. 


    ~ We will place a soft hold on your requested day and time slot until the deposit is received.  A soft hold means that you have filed all registration materials and your spot will be held for 10 days while you send in your deposit.  If your deposit is not received within the grace period, your spot may be given to another student.


    ~ Any remaining session balance is due in full on or before the first day of each session.

  • Withdrawals/Refund

    ~ Withdrawals from class less than two weeks before the session starting date, or at any point after the session has begun, will not be eligible for any type of refund. 


    ~ The registration deposit is a non-refundable/non-transferable deposit.

  • Absence & Make Ups

    MISSED CLASSES

    Sick Policy


    ~ If your child wakes up sick on or before a swim day, Swim With Gale will make up that class if reporting requirements (see below) are met.  All classes missed due to sudden illness must be rescheduled within 30 days or the make-up eligibility expires.  Individual missed classes can only be rescheduled for illness once.  


    Reporting Requirement


    ~ To be eligible for each sick class make-up, you must notify the office by email (info@swimwithgale.com) that your child is ill before 9:00AM on the day that they are missing the class.  This allows us to update the daily schedule staffing.  Each missed lesson due to illness must be pre-reported to be eligible for sick day makeup, regardless of whether the previous class was also missed due to illness.  


    ~ You may also call the office at 818-889-0865 and leave a voicemail if the child comes home from school sick.  Failure to notify Swim With Gale, as outlined above, forfeits the eligibility for sick make-up.  See *note immediately below.


    ~ Once you are healthy and ready to return, you must notify the office by email (info@swimwithgale.com) that you are healthy and ready to return so we may add you back to the daily schedule.  


    *Note


    ~ Students must be fever and symptom-free, without any medication, for 24 hours before they are eligible for re-admission into the pool and future lessons.  To be eligible for a sick make-up lesson, you must report the anticipated missed class due to illness as outlined above for each and every missed class.


    Travel Policy 


    ~ Prescheduled travel is travel that has already been booked before swimming lessons have been contracted.  When prescheduled travel conflicts with scheduled lessons, we offer two options for anticipated missed classes:


          ~ Reschedule make-up within 2 weeks of the missed lesson.  This option may be limited by Swim With Gale availability.


          ~ Receive a pro-rated session fee for the classes you will miss. 


    ~ To be eligible for the above exceptions, you must let the office know your scheduled vacation plans at the time you first register.  Last-minute vacation days that result in a missed class are not eligible for make-up classes, financial reimbursement, nor credit toward future classes. 


    ~ CLASSES ARE HELD RAIN OR SHINE!  Missing a class due to weather does not guarantee a credit/refund.  Swim With Gale will contact you if for any reason a class is canceled.



    Clarification


    ~ If your child wakes up sick on or before a swim day, Swim With Gale will make up that class if reporting requirements (see above) are met.


    ~ No show and no notification will not be eligible for a make-up class or a refund.


    ~ Please notify the office by email (info@swimwithgale.com) that your child is ill before 9:00AM so the necessary arrangements can be made for the daily schedule.  You may also call the office, 818-889-0865, and leave a voicemail if the child comes home from school sick. 


    ~ Once a make-up class is scheduled, it cannot be rescheduled or made up, if missed.  One make-up per eligible absence.


    ~ One must be fever and symptom free, without any medication, for 24 hours before returning.


    ~ We understand that you may miss a class due to uncontrollable circumstances.  We are all human and life happens.  Please contact us with any scheduling conflicts that arise, and we will do our best to work with you.  Last-minute missed classes do not enable us to fill the timeslot with other students.  Timely consideration of this rule enables us to best serve all our students.  Again, only the above circumstances offer a guarantee of rescheduling, and only if the outlined terms are met.


    ~ If you decide to go somewhere for the day or just do not show on a scheduled lesson day, then that class will not be made up.


    ~ We will make every effort to work with you to reschedule that lesson, but make-ups are NOT GUARANTEED.

  • Potty Training

    ~ If your child is not potty trained, please use a double layer swim diaper and make sure they fit snug.  Use a disposable swim diaper on the inside and a reusable snug fitting swim diaper on the outside.  Regular diapers are not allowed as they absorb to much water and then disintegrate in the pool.  For the safety of the water and patrons, we want to contain any accidents.  


    ~ I strongly recommend getting a portable potty for the car, just in case your little one needs to go in the middle of the lesson.  Even if your child goes just before the lesson, sometimes they must go again, it is best to be prepared.

  • Hair

    ~ Hair that is shoulder length or longer, or hangs in the face, must be clipped back from the face securely and put into pony or pigtails.


    ~ Bangs (boy/girl) should be trimmed out of the eyes or put up in a ponytail.


    ~ No bobby pins

  • Sunscreen

    ~ If you choose to put sunscreen on, please do so an hour and a half before swimming.


    ~ Sunscreen needs time to be absorbed in order to protect the skin.  Sunscreen put on at the pool or earlier than 90 minutes before entering the water, immediately washes off in the pool.  This limits and/or removes its ability to protect your child's skin and also builds up in the water.  Sunscreen build-up negatively impacts the sanitization ability to kill germs and keep the water and pool surfaces clean.  The build-up also creates a residue that strains the pool equipment and prevents it from working most efficiently.
